From letter to booked scan.
A new email from Slievemore Clinic doesn't match a patient yet. Niamh opens it with the attached letter, creates the referral and books the scan in one step. Referrals that arrive by phone are added from the list.
From GP referral to result, in one place.

Ultrasound Ireland runs pregnancy, medical and fertility scans at three clinics in Dublin, with most patients sent by their GP. Reception, sonographers and radiologists needed one system to take a referral from the GP's letter to a result back on the GP's desk, and patients wanted to follow it too. We designed the UX/UI of the staff web app and the patient result page.
01The challenge
Every scan starts with a GP's letter and ends with a report back on that GP's desk. In between, the patient is booked at one of three clinics, scanned, and reported on by a radiologist. Each step is done by a different person, and each one can stall.
GPs email referral letters to the clinic's shared inbox, for four kinds of scan. Each one has to be matched to the right patient and doctor, booked and tracked, across three clinics.
A signed report only helps once it reaches the GP. When an email bounces, the result sits there until someone notices or the patient calls.
Patients wait for news about their pregnancy or their health, and GPs plan around the result. Without a way to check, both ring reception.
02Our approach
We designed the app around the referral: one record that follows the patient through every step, shows who has it, and makes the next step obvious.
A row of steps shows where it is, from referred to result sent. Documents, notes and every event sit on the same page, so anyone can pick it up.
Pregnancy, medical, 3D / 4D baby and fertility scans each have their own colour, used on tiles, tags and charts. The day's work reads at a glance.
Results past the 48-hour target, bounced emails and letters that don't match a patient appear where staff already look, with the fix one click away.
03The product in action
A new email from Slievemore Clinic doesn't match a patient yet. Niamh opens it with the attached letter, creates the referral and books the scan in one step. Referrals that arrive by phone are added from the list.
Siobhán Kelly's anomaly scan report was signed on Tuesday, but two emails to her GP's practice bounced. The referral turns red past the 48-hour target. Niamh resends it to the address the practice confirmed and saves it for next time.
Dr Ruth O'Brien reports from a template for each scan type. The cover letter to the GP fills itself in as she writes, and the report list shows what is still a draft, signed or sent.

Each patient gets a tracking code by text. The result page shows every step in plain words, from the scan to the report reaching their GP, on any phone or computer.

04Design language
A white, flat interface keeps the focus on patients and dates. Ultrasound Ireland's navy is saved for the main action on each page. Four scan-type colours and one set of status badges, each with its own icon, let staff read a list without reading every word. Manrope, the brand's typeface, keeps long tables easy on the eye.
